Final Manuscript Submission Guideline

Authors of accepted regular papers (full or digest) should carefully read the following instructions and take actions accordingly:

  1. Register as an Author by Sep 30, 2015 at the ICCVE 2015 registration portal:

    You must choose "Author Full Registration" or "Author Limited Registration" as your Registration Type, otherwise you will NOT receive the paper upload code that is required when uploading your final manuscript in EDAS. After the registration, you will receive an email containing a paper upload code. Sharing this code with anyone else is unethical and consequences apply.

    NOTE: To be published in the ICCVE 2015 Conference Proceedings and submitted to IEEE Xplore®, an author of an accepted paper is required to register for the conference at the FULL or LIMITED (member or non-member) rate and the paper must be presented at the conference. Non-refundable registration fees must be paid prior to uploading the final IEEE formatted, publication-ready version of the paper. For authors with multiple accepted papers, one FULL or LIMITED registration is valid for up to 3 papers. Student registrations are not eligible for publication. If you are a student and you are the only paying author of your paper, you should register at the FULL or LIMITED (member or non-member) rate.

    Visa letter: A visa letter template can be downloaded in your registration account.

    Acceptance letter: The acceptance notification email that you received before should be regarded as a formal acceptance letter. In case you need a PDF version with the conference banner, the visa letter template mentioned above can also serve this purpose.

  2. Submit the IEEE Copyright Form in EDAS by Sep 30, 2015

  3. Prepare and upload your final manuscript in EDAS by Sep 30, 2015:

    Use the US letter size template at

    Carefully read the reviews, and revise your paper accordingly with your best effort. Our TPC members and reviewers have been working very hard to give every paper at least 4 peer reviews. Improvements in your paper will be the best rewards for their constructive review comments;

    Avoid commercialism in text and figures. Use of company names and/or part numbers is strictly prohibited;

    Do not include page numbers and headers/footers;

    Convert your final manuscript into PDF format. All the fonts used in your manuscript must be embedded and subsetted. To make sure your PDF file is IEEE compliant, please go to the IEEE PDF eXpress site at
    Click on the link "New Users - Click Here" and fill in your information. You will need the Conference ID which is: 37688X

    Upload the PDF file of your final manuscript in EDAS. You will be asked to input the paper upload code generated from your registration.

  4. Prepare and upload your oral presentation slides in EDAS by Oct 16, 2015:

    Your paper will be presented as an oral presentation (20 minutes including Q&A). In order to run the paper sessions efficiently, we request you to upload your presentation slides in EDAS before the conference. Please still bring your slides (on a USB drive) to the session room just in case.

    No copyright transfer is needed for the slides. But we will make all the slides downloadable after the conference.


Please also carefully read the following FAQs.

Q1. I have paid the Author registration fee (FULL or LIMITED), but the EDAS says it is not a valid registration when I input the registration confirmation number for my final manuscript (or visa letter).
A1. You should have received a separate email containing a paper upload code. Otherwise, please add "15CVE" in front of your 11-character registration confirmation number to compose your paper upload code.

Q2. Where can I access or download the copyright form?
A2. The copyright form can be found in EDAS on the same web page of the final manuscript submission.

Q3. Please send me a visa letter ASAP.
A3. It is IEEE's policy to ONLY issue visa letters to registrants paid in full. Our registration system has automatically sent visa letters to ALL registrants who requested a visa letter with a zero balance.
